Manage Events — help guide

How to use the AMCC calendar tool, for anyone with the Calendar Manager role.

Who can use this

Only accounts with the Calendar Manager role can create, edit, or remove events. If you can’t get in, ask the site administrator to grant you that role.

Getting in

Go to /manage-events/ and sign in with your AMCC account. If you’re signed in but see “Calendar access needed,” your account doesn’t have the Calendar Manager role yet.

Creating a one-time event

Fill in the title, group (Special Event or Weekly Program), start/end date, time type, and event details. The event details box is required — write it as you’d want a visitor to read it, since it becomes the public description. Choose Save as draft to hold it privately, or Publish to calendar to make it live immediately.

Cost, a registration link, venue, organizer, room note, and contact info are all optional but recommended when they apply.

Editing an event

Find it in the list below the form (search by title, or filter by Published/Drafts), then press Edit — or click its title. Make your changes and press Publish or Save as draft again.

Removing an event

Press Trash next to it. This moves it to the WordPress Trash — it isn’t gone permanently and can be restored by a site administrator if needed.

Preview features Staff preview

These are being tried out on a staff-only preview page before they’re added to the everyday tool. If you have access to /manage-events-poc/, they’re already available there.

Recurring weekly programs

When creating a new event, check Repeat weekly and pick a “repeat until” date. Saving creates one event for every week between the start date and that date (up to 52), tied together as one series. This only applies when creating a new event, not while editing an existing one.

To skip a single week (e.g. a holiday), just Trash that one date afterward — the rest of the series is unaffected.

Editing a whole series at once

Open any occurrence that’s part of a series for editing (look for a “Series 2/6” style badge on it in the list). A box appears offering to apply this change to the remaining occurrences. Check it before saving to push your change (time, venue, description, etc.) to every future date in that series — each occurrence keeps its own date.

Ending a series early

On any occurrence that isn’t the last one in its series, a Trash remaining in series button appears. It trashes that occurrence and every later one in the same series in one step — useful when a program ends sooner than planned.

Selecting and trashing several events at once

Each event in the list has a checkbox. Check a few (or use Select all) and a toolbar appears with a Trash selected button.

Duplicating an event

Press Duplicate on any event to open a copy of it in the form, titled “Copy of …”. Pick new dates and save — useful for events that repeat with small changes.

Double-booking warnings

If you choose a venue and a date/time that overlaps another event already booked there, a warning appears before you save, listing the conflict. You can still save anyway if it’s intentional.

Event history

Press History on any event to see a short log of when it was created, updated, or trashed, and by whom.

For administrators: limiting a Calendar Manager to certain categories

By default, every Calendar Manager can create, edit, and delete any event, in any category. To limit someone to only certain categories:

1. Go to Users in the WordPress dashboard and open that person’s profile.
2. Scroll to “AMCC Calendar — category scope.”
3. Check the categories they should be limited to. Leaving everything unchecked keeps them unrestricted (the default).
4. Save the profile.

Once set, their category dropdown only shows their assigned categories, and the system rejects any attempt to create, edit, or delete an event outside those categories — except for site administrators, who are never restricted.

Questions or something looks wrong?

Contact the site administrator (chairman@amccenters.org). When reporting a problem, include the event’s title and roughly when you were working on it — the History panel on that event can often show what happened.
